Operations Coordinator

We are currently searching for an Operations Coordinator for our St. John’s Terminal.  Reporting to the Pier Superintendent, the incumbent will perform duties associated with accurately entering vessel load information and related dangerous goods documentation. This position will liaise with customer service, mechanical and pier operations to meet operational objectives.

Tasks and responsibilities

1. Ensures all aspects of entering vessel loading information in Oceanex systems by:

  • Entering cell plan information accurately with the ability to assess issues & make adjustment.  Maintain records of same and forward documentation related to dangerous goods, in bond and documents for invoicing to appropriate departments;
  • Ensuring bills of ladings are correct and all dangerous goods information is complete and prepared for vessel Captains;
  • Adopting alternative solutions when necessary to adjust to changing situations, priorities, unresolved situations, delays or unexpected events;
  • Reporting on issues, variances & work completed and not completed.

2. Coordinates the distribution of work hours of all unionized land based employees to ensure balance by:

  • Accurately reviewing and completing all timesheets for hours worked by all unionized land based employees;
  • Providing regularly updated manpower reports;
  • Accurately recording manpower shortages, absenteeism and division of labour.

3. Manages the flow of information and communication through all service requests, priorities and from internal/external clients to the pier operations team to achieve a superior level of service by:

  • Ensuring the escalation and notification of work done/not done to all affected internal clients;
  • Maintaining and updating relative information in a daily operations document;
  • Regular status reporting.

4. Acts in accordance with Oceanex’s policies, processes, and safe work procedures as well as communicates ongoing challenges with all stakeholders. Reinforces quality and safety as a fundamental priority and conducts ongoing performance and safety by:

  • Ensuring all safety equipment is available and in good order;
  • Ensuring that all gear on terminal is stowed, inventoried and in good order;
  • Collaborating with Maintenance that equipment is in good working order & reporting on bad order variances and estimated time of repair.

5. May be called upon to provide operations coverage when required.

6. Perform other duties, as assigned.

• Post Secondary education or equivalent combination of transportation/logistics experience and training;
• Minimum of 5 years experience in a similar role;
• Previous relevant experience working in a safety critical environment;
• Previous supervisory experience in a unionized environment would be considered an asset.


• Strong verbal and written communication skills;
• Strong organizational skills;
• Reporting and basic analytical skills;
• Proficiency with related computer and MS Suite applications.  Advanced knowledge of Excel and Word is desired.
